Job Description:

PRIMARY PURPOSE OF POSITION

 

The position is responsible for writing and managing all facets of larger, more complex high-level defined contribution, deferred compensation and investment-only requests for proposals (RFPs) from prospects and consultants, and current retirement clients, as assigned by the RFP Manager. The position works with the assigned sales director and other professionals throughout the firm in order to respond to RFPs and other requests. The position is required to have a comprehensive, in-depth knowledge of all areas of RPS and the firm, including communications, compliance, implementation, and recordkeeping, as well as mutual funds, investment management, staffing, legal, etc.

 

PRINCIPAL RESPONSIBILITIES

 

1. Respond to RFPs, RFIs, client requests and proposals for large, complex (more customized services requested and/or varied types of plans) prospects, as assigned by RFP Manager. All will require the writing of concise, accurate content and the editing/updating of existing database content. The Senior Proposal Writer is also responsible for completing and maintaining/ updating consultant databases. The Senior Proposal Writer manages the proposal development process for the prospect and is responsible for coordinating all efforts with Sales and other professionals throughout the firm (SMEs). It is critical that the Senior Proposal Writer maintain excellent relationships with a wide variety of SMEs at all levels of the firm.

 

2. Through collaboration with team members and SMEs, plays an auxiliary or complementary role in identifying new material or answers that need to be added to the data. The Senior Proposal Writer must meet with SMEs to periodically review the database content to ensure for accuracy and completeness. Edit, revise and update existing core content in the RFP content database as it becomes outdated in use in proposals. Writes new content (not in the database), working with SMEs, to respond to questions as needed. Coordinates with other team members to ensure that the integrity of new or revised content is maintained for future use in RFPs and other sales and marketing materials.

 

3. Serve as a mentor/coach to developing Proposal Writers on the RFP Team.

 

4. Provide ongoing support to sales directors throughout the sales process, which would include RFP follow-up requests, providing strategic expertise and customized content for sales kits.

 

5. Responsible for tracking and reporting all RFP requests. Produce various reports of RFPs and other activity for internal team use and other RPS departments.

 

6. Respond to numerous ad hoc requests for a broad range of content, data and customized information.

 

7. Work with the Production Coordinator (RFP Specialist) to coordinate and facilitate the RFP process.

 

QUALIFICATIONS

 

Required:

* College degree, or a high school diploma/equivalent and a minimum of three years related work experience

* Excellent problem-solving and organizational skills. Must be able to work independently in tight deadlines.

* Excellent project management skills - must set priorities, anticipate needs and coordinate several complex projects at one time for internal customers with often differing priorities

* A demonstrated command of English language skills in writing, spelling, grammar and punctuation. Proposals are written to sophisticated audiences who expect precise and thoughtful diction

* Excellent analytical skills; must have ability to review and identify salient points of proposals

* Incredibly detail-oriented, as many proposals ask detailed, specific questions, and also have very specific format and response requirements, etc

* Excellent communication skills - must be able to communicate effectively and make requests of professionals at all levels of the firm and across business units

* Must interact with all levels of internal staff and external sources of information, i.e., prospects and consultants

* Demonstrated expertise in Microsoft Word and Excel

* Ability to work with access and firm databases

 

Preferred:

* Bachelor's degree

* Writing and/or editing experience

* Experience using PowerPoint and Adobe in addition to core applications

* Five years related experience, ideally in a marketing or sales environment
