This administrative assistant position has responsibility to manage the executive assistant functions for the Regional Consumer Director for Asia as well as support the administrative support needs of the Asia Consumer team. The incumbant will be required to handle sensitive data and presentations and interact with senior Business managers in the Region and ARR managers across the globe as the person handles meeting and travel logistics and material. for the chief auditor. The person will also be required to interface with multiple functional departments including human resources, procurement and finance. Support for Director/ Program Director: • Full spectrum of personal assistant support (e.g. calendar management, meeting scheduling, full travel logistical arrangements, travel meeting itinerary, expenses reimbursements and tracking) • Meeting material preparations (collate reports/ prepare slides/ etc) • Meeting material preparations (collate reports/ prepare slides/ printing, etc) • Maintaining files of manager's correspondence, records, etc • Assist in Key Performance Indicator tracking • Assist in annual audit planning and budget process • Data consolidation and In-house database update Support for Review Team: • New Hires/ Staff Exit Administrative support (e.g. laptops/ desk/ system access/ name cards) . Ensure that orientation package (e.g. laptop, name cards, access rights, etc) are ready on "Day 1". • Password reset; hotel booking for business travel • Staff activities coordination for review team • Professional Membership Fee reimbursement approval coordination • Check expense claims and expenses against corporate policies • Audit report PDF conversion Other Admin Support: • Organize and coordinate overseas visitors/seniors meeting schedules and travel arrangement. • Support regulator deliverables preparation • Training coordination • Together with other Admin Support person provide administrative support (e.g. security passes, premises-related matters, password to phones, and computer software) • Handle office supplies / software purchase/ invoice payment process • Handle records retention and annual fixed asset reconciliations • Head Office Monthly headcount reporting • Organizing team events and outings • Work with other admin support persons as a team and provide backup support where necessary • Providing support to ad hoc request and assist in projects as needed to Asia team • Minimum 7 years' experience in a similar capacity
• Effective prioritization of multiple tasks and focus on deadlines • High degree of initiative and willingness to assume responsibility • Excellent organizational skills with attention to detail • Discretion in handling all personnel and confidential matters • Conversant with software applications such as MS Word, Excel, PowerPoint • Willingness to invest time to become competent in use of department software and to use available technology to appropriately improve processes; • Strong interpersonal skills for interfacing with all levels of ARR personnel, line management, service providers and external parties • Effective written and verbal communication skills |
