Job Description

The Client Service Administrator role is an administrative process driven role. CSA's will be required to raise invoices, draft bill, analyse Work in Progress (WIP) reports. The CSA plays a very important part of the business as they are the key contacts for their client engagement teams.

Responsibilities

Finance

Undertake key finance procedures:

· Opening client codes and reviewing the relevant risk tasks have been completed.

· Monitoring WIP portfolio, ensuring projects are stated at net realisable value and identify jobs that may need performance variances..

· Liaise with job controllers and Partners to chase debtor payment and to ensure that any reason for non payment is identified and resolved.

· Preparation of draft bills regularly and quickly to ensure unbilled WIP is at a minimum and maximisation of cash receipt speed.

· Identify with job controllers codes for zero billing and costs to complete.

· Assist in chasing XLoS for allocations.

· Provide auditors with required reports for selected projects.

· Sending out weekly GFS reports to the team.

· Ensure timesheets are submitted before the deadline and producing weekly reports on late submissions.

· Ensure Partners submit their quarterly NIC forms within the timetable distributed for that period.

· Processing journals if costs have incorrectly been allocated.

· Creating non specific GFS reports as and when required.

· Preparation of various reports for the monthly Partner pack.

· Meet with Partners monthly to ensure they are aware of their WIP situation and ensure actions agreed to enable the NIC sign off after the quarter end.

Risk Management

· Distribute weekly reports

· Monitor mandatory tasks in map for live engagements and encourage team to complete tasks and wrap-up files when projects are finished.

· First point of contact if technical problems arise in map files.

· Ad hoc assistance to the risk team when required.

· Provide Risk with project information for Hot Reviews.

CRM

First point of contact if problems arise when the team are creating new clients and opportunities.

Sending out weekly CRM pipeline report to the team

Requirements

The following skills are essential for this role:

Essential

· GCSE Maths and English grade C or above (or equivalent)

· Proven IT skills including excel, word, powerpoint, lotus notes, financial systems

· Strong numeric, analytical and finance skills

· Excellent communications skills (verbal and written)

· Proactive, self motivated, takes responsibility for own work and can work under own initiative

· Strong influencing skills and team working skills, able to build strong relationships

· Excellent time management and personal organisational skills

Desirable

· Knowledge/understanding of risk management

· An ability to manage budgets, billing and compliance considerations

· An ability to identify and address risk management issues

· A track record of delivering to deadlines
